OFFICE SUPPORT/CUSTOMER SERVICE SPECIALIST

We are seeking a dedicated, detail-oriented individual to join our Lifetouch National School Studios Inc. team in an office clerical/operations role. The selected individual will ensure smooth territory operations by providing general office support and assisting Yearbook sales representatives.

RESPONSIBILITIES
  • Receives inbound calls from Schools and Parents and resolves any issues with great customer service
  • Provides clerical support necessary for territory including typing, filing, ordering supplies, photo copying, and opening and distributing mail.
  • Prepares and packages all job event bags pre-picture day and post picture day for sending to the lab.
  • Process money and assist in money room as required.
  • Print ID-Cards for schools when the ID card can not be produced through the lab.
  • Assists the Yearbook Sales Representative with miscellaneous duties such as: mailings, delivering of kits or sales materials, training schools about the online program, imprinting flyers, entering teacher name list online, organizing promotional packets, ensuring jobs are Flash matched and uploaded to the website, and obtaining overdue balance on accounts.
  • Assists, coaches and services the yearbook customer via telephone. Notifies Yearbook Sales Representatives of customer requests for service visits.
  • Ensures customer understanding and compliance to publishing deadlines and material submission requirements.
  • Completes all yearbook training programs as offered by Lifetouch Publishing Training Department.
  • Collaborates with Lifetouch Publishing Production, KC Customer Care and LNSS Lab personnel to resolve customer and sales representative inquiries.
  • Provides ongoing support and follow-up for all LPI Marketing/Sales promotions, initiatives and workshops.
  • Monitors and assists in collection of payments from accounts
  • Assist schools with yearbook design and page layouts. May build yearbook pages if the school requires it.
  • Assists the Yearbook Sales Representative in completing the required paperwork (e.g. Publication Agreements, proposals, invoicing, etc) in an accurate and timely fashion.
  • Other duties as assigned.

REQUIREMENTS
  • High school diploma or equivalent; additional post high school education and/or secretarial training preferred
  • High school diploma or equivalent and relevant post-secondary coursework/formal customer service training.
  • 2+ years of customer service experience.
  • Intermediate to advanced computer skills, including word processing and spreadsheet software required.
  • Superior phone and customer service skills/etiquette.
  • Excellent verbal, written, listening, and interpersonal skills.
  • Strong problem solving skills.
  • Ability to work well in a team environment.
  • Must posses strong organizational and planning skills.
  • Ability to manage multiple priorities and execute a variety of tasks in a fast-paced environment to meet deadlines internal customer deadlines.
  • Ability to deal patiently with problems and complaints and to remain courteous when faced with difficult or angry customers.
  • Ability to handle confidential information.
