Electronic Data Transfer (EDT) Specialist - Seasonal Position

In accordance with company job production procedures, this position is responsible for collecting, formatting and processing of the Electronic Data Files (EDT) for the purpose of providing Name-On Card Camera Cards for Service Centre supported territories. In addition, this position may responsible for ongoing Customer Service and Sales Specialist support.

Primary Duties and Responsibilities:

Data Collection and Tracking:

  • Prepare and send out yearly communication with accounts to maintain accurate EDT contact information in FOW account manager.
  • Contact schools, administrators, school boards, or any individual responsible for supplying current student data lists to request appropriate information for each job. Communication by email and phone.
  • Provide instructions to schools on how to extract the required information from various school administrative systems.
  • Record each attempt when contacting appropriate file provider on the Master Tracking System. Call or email the appropriate territory for continued follow-up.
  • Ensure files are workable and include all required information. Verify fields needed using the work order provided from Sales Support.
  • Track the file receipt date on the Master Tracking System.
  • Communicate and resolve file issues with account contacts, territories and Sales Support

Data Formatting and Processing:

  • Organize work to process by scheduled photo dates.
  • Clean and manipulate files in order to process through the Pre-print EDT program.
  • Convert all files into a Microsoft Excel CSV or tab-delimited text format.
  • Verify that all fields requested are on the file
  • Process the clean and formatted Excel file through the Pre-print EDT program. Enter process date on Master Tracking System.
  • Ensure the Barcode requirements are met with the current file and/or have a good knowledge of how to proceed with jobs that do not pass the Barcode verification requirements.
  • Provide data/paperwork to Job Bag Preparation area for processed files.

Tracking and record keeping:

  • Enter each file that is requested, received, processed and printed cards are received on the Master Tracking system.
  • Keep an electronic copy all original files as they are received from source and a copy of the data exactly as it was put through Pre-print EDT.
  • Other duties as assigned.

Minimum General Requirements:

  • High school diploma or equivalent and relevant post-secondary coursework/formal training
  • 2+ years of relevant experience or an equivalent combination of education and experience
  • Intermediate computer knowledge; including Microsoft Excel and Word
  • Detail-oriented with a high level of accuracy
  • Proven time management skills with the ability to multitask and prioritize
  • Ability to handle high volume of work and meet tight deadlines
  • Excellent verbal, written and communication skills
  • Strong problem solving and organizational skills
  • Ability to handle confidential information
  • Customer service experience would be an asset
